At Oplix, we leverage AI to enhance bug reporting and community analysis while maintaining the highest standards of data protection. This policy explains our AI practices in detail.

This AI Data Policy ("Policy") governs the collection, use, processing, and protection of data submitted by game studios, their players, and online communities to Oplix Technology ("Oplix", "We", "Us", or "Our") when utilising Our AI-powered bug reporting, community analysis, and feedback services. This Policy is applicable to all users of Our platform and ensures compliance with relevant data protection laws, including the UK Data Protection Act 2018 and the General Data Protection Regulation (GDPR), as applicable.
1. Data Collection and Scope
1.1 Types of Data Collected
Oplix collects and processes only non-personal, anonymised data as provided by game studios, their players, and community members through the submission of bug reports, feedback, and community discussions. Specifically, the following categories of data may be processed:
- • Bug report metadata: Textual descriptions of bugs, timestamps, error logs, and other non-personal diagnostic data necessary to analyse and resolve bugs.
- • Player submissions: Text-based information submitted by players in relation to game performance or issues encountered during gameplay, all of which is anonymised.
- • Community comments and feedback: Text-based feedback and discussions from community platforms, such as Discord and Steam, used to gain insights into community sentiment, feature requests, and other user-driven data points.
1.2 Exclusion of Personal Data
We do not intentionally collect, process, or transmit any personal data, including personally identifiable information (PII) or special categories of data as defined under the GDPR. Oplix expressly instructs its clients, users, and communities to use the exclude field if collecting PII from end users to ensure such data is not transmitted to AI systems. It is the client's responsibility to properly implement this safeguard to prevent the unintended processing of sensitive information.
Legal Basis for Processing: Oplix processes anonymised data based on legitimate interest (GDPR Article 6(1)(f)), as this is necessary for improving game performance, community management, and bug resolution.
1.3 Exclusion of File Attachments
No images, screenshots, video recordings, or file attachments are submitted to the OpenAI API for analysis. Only text-based data from bug reports, player feedback, and community comments is processed by Our AI system.
2. Use and Purpose of Data Processing
2.1 Purpose of Processing
Oplix processes data solely for the purpose of providing game studios with insights into bug reports, gameplay issues, and community sentiment. The data submitted is analysed using artificial intelligence (AI) to generate reports, prioritise bugs, identify trends, analyse community feedback, and provide actionable insights to assist in bug resolution, game improvement, and community management.
2.2 Community Analysis via Discord and Steam
Oplix also collects text-based data from community platforms, including Discord and Steam, to analyse community comments, feedback, and discussions. These insights help game studios understand player sentiment, feature requests, and potential game issues raised by the community.
Efforts to Anonymise Data: While Oplix endeavours to anonymise all community data processed through Our AI systems, we cannot fully guarantee that no personal information will be submitted by community members. Community members may inadvertently share personal data, and it is beyond Oplix's control to prevent such submissions. As a result, Oplix cannot be held liable for the inclusion of personal data in community feedback submissions.
2.3 No Sharing with Third Parties
Oplix does not share any data with third parties except as necessary for the provision of the AI services, specifically via the OpenAI API. No data is disclosed to any external parties for commercial purposes, marketing, or any other reason outside the scope of the services provided.
3. Data Handling by OpenAI API
3.1 Use of OpenAI API
Oplix utilises the OpenAI API to enhance the analysis of bug reports and community feedback through text-based natural language processing. The data submitted to the OpenAI API is limited to text and is processed in real-time. OpenAI processes the data strictly according to their privacy policies.
3.2 Data Not Used for Training
Neither Oplix nor OpenAI uses the data submitted via the API for training or improving AI models. All data processed through the API is handled in compliance with OpenAI's terms, which expressly prohibit the use of API-submitted data for model training or refinement.
4. Data Retention and Deletion
4.1 Retention Period
Oplix retains bug report and community feedback data only for the duration necessary to complete the analysis and provide insights to the client game studio. Unless otherwise agreed, such data is stored for a period of 365 days after submission, following which it is securely deleted from Our systems.
4.2 Right to Request Deletion
Game studios may request the deletion of bug report or community feedback data at any time by contacting Oplix at support@oplix.io. We will confirm deletion within 7 working days of receiving the request, unless legal requirements dictate otherwise. Upon such a request, We will promptly and permanently delete all submitted data from Our systems, except where retention is required by law.
5. Data Security
5.1 Security Measures
Oplix employs industry-standard encryption protocols to ensure the security of all data in transit and at rest. Specifically, we use AES-256 encryption for data at rest and TLS 1.2/1.3 encryption for data in transit. Our systems undergo regular vulnerability assessments to ensure the highest level of security. Strict access controls ensure that only authorised personnel have access to bug reports and community feedback data.
5.2 Compliance with Legal Standards
Oplix is committed to maintaining compliance with all applicable data protection laws, including but not limited to the UK Data Protection Act 2018 and the GDPR, to ensure the lawful processing of data and the protection of the rights of individuals.
5.3 Data Breach Notification
In the event of a data breach that affects submitted bug reports, player feedback, or community comments, Oplix will notify affected clients within 72 hours of becoming aware of the breach, in compliance with applicable legal requirements, and will take all necessary steps to mitigate any potential harm.
6. Responsibilities of Game Studios and Communities
6.1 No Submission of Personal Data
It is the responsibility of game studios utilising Oplix's services, as well as community members contributing feedback, to ensure that no personal, sensitive, or confidential information is included in bug report submissions, player feedback, or community comments. Oplix shall not be held liable for any damages resulting from the submission of personal or sensitive data by game studios, players, or community members in violation of this Policy. Game studios and community managers are solely responsible for ensuring compliance with this Policy and applicable laws in their submissions.
6.2 Internal Privacy Practices
Game studios and community managers are encouraged to implement their own internal policies to prevent the submission of personal data and to educate their players and community members on responsible reporting and feedback practices.
7. Amendments to this Policy
7.1 Right to Amend
Oplix reserves the right to amend this Policy at any time to reflect changes in Our services, legal requirements, or advancements in AI technology. All material changes will be communicated to Our clients in a timely manner provided that Oplix provides at least 30 days' notice of any such changes. Game studios and community managers are advised to review this Policy periodically.
8. Cookie Policy
Any use of cookies or similar technologies on Our platform will be disclosed in a separate Cookie Policy, in compliance with applicable laws, including ePrivacy and GDPR.
9. Compliance with Other Jurisdictions
Oplix is committed to complying with data protection laws globally, including but not limited to the California Consumer Privacy Act (CCPA) where applicable. Game studios and community managers based outside the UK and EU should inquire about how their local laws may affect their use of our services.
10. Data Processing Agreement
Oplix is happy to provide a Data Processing Agreement (DPA) to any game studios or community managers requesting additional documentation on how their data is processed, in compliance with GDPR and other relevant laws. Please contact us at support@oplix.io to request a DPA.
